Thank you for being part of our portal beta program. As one of our valued clients, your feedback is helping us create a better experience for all expats. This guide will walk you through everything you need to know about using your new portal.

Need to log in right now? Here’s the fast version:

  1. Click the “Access Your Portal” button in your invitation email (first time users), or click here to return to the portal after you’ve verified your account.
  2. Enter your email address and click “Sign in”
  3. Check your email for “New sign in link” and click it (check spam if you don’t see it)
  4. Choose your sign-in method: Password, SMS, or Email Link
  5. Complete the Service Selection Quiz (2-3 minutes) – DON’T SKIP THIS
  6. Start your questionnaires

During beta testing (January 26 – April 15, 2026), these features work differently:

What’s NOT available in the portal yet:

  • ✗ Invoice payment (you’ll receive email links instead)
  • ✗ Past invoice history (contact support if needed)
  • ✗ Main website “Login” button (use this link instead)

First-Time User Guide

Welcome to your new Greenback Portal. We’ve designed this to make your tax filing experience smoother and more secure. Here’s how to get started.

Your First Sign-In

We’ve sent you an invitation email with a unique link to access your portal. Here’s what happens next:

  1. Click the link in your invitation email to begin
  2. Enter your email address (the one Greenback has on file for you)
  3. Check your email for a verification link and click it to confirm your identity
  4. Choose how you want to sign in going forward:
    • Password: Create a secure password you’ll use each time
    • SMS Passcode: Get a fresh code texted to your phone at each login
    • Email Link: Receive a one-time secure link by email at each login

💡 Pro Tip: Choose the method that fits your lifestyle. If you travel frequently and don’t always have reliable phone service, a password or email link might work better for you.

Step 1: Complete Your Service Selection Quiz

This is the most important first step. The quiz takes about 2-3 minutes and tells us exactly what you need help with this year.

Why this matters: Your portal doesn’t automatically show questionnaires. The Service Selection Quiz generates only the specific forms and questionnaires you need based on your answers. If you skip this or answer incorrectly, you might not see the questionnaires you need.

How to complete it:

  1. After signing in, you’ll see the Service Selection Quiz on your dashboard
  2. Select each service that applies to you (US tax return, FBAR, foreign returns, etc.)
  3. Choose your filing timeline and any special situations
  4. Click Submit

What happens next: The portal instantly creates your personalized questionnaires. You might see multiple questionnaires, and that’s completely normal. Each service (US return, FBAR, UK return, etc.) gets its own questionnaire.

Need to make changes later? Just send us a message through the portal or email your accountant. We can adjust your services anytime.

Step 2: Navigate Your Dashboard

Your dashboard is your home base. It shows everything you’re working on, organized by tax year.

Understanding your task list:

  • Green checkmark = Section is complete
  • Empty circle = Task is waiting for you
  • Red notice = Something needs your attention

You can work on tasks in any order that makes sense for you. Everything saves automatically, so you can stop and come back anytime.

Step 3: Complete Your Questionnaires

Think of questionnaires as guided interviews. Instead of staring at blank tax forms, you’ll answer questions in plain English. We’ll handle the complex form-filling behind the scenes.

How to work through a questionnaire:

  1. Click “Start” next to any questionnaire on your dashboard
  2. Answer questions section by section
  3. Use the helpful tools when you need them:
    • Add Note: Explain something unusual directly to your accountant
    • Answer Later: Flag questions you need to come back to
    • Mark N/A: Skip questions that don’t apply to you

Your progress saves automatically. Leave anytime and pick up exactly where you left off.

When you’re ready to submit: The Submit button only unlocks when every section is complete. This ensures your accountant gets everything they need the first time.

Step 4: Upload Your Documents

You can upload documents in two ways:

  1. As you go: Upload directly within questionnaire sections
  2. All at once: Use the Document Checklist to upload everything together

What you can upload:

  • PDFs (most common)
  • Images (JPG, PNG)
  • Spreadsheets (CSV)
  • Maximum size: 100 MB per file

Don’t worry about organization: Your team can see your documents no matter where you upload them. If you upload something to the wrong place, just send us a quick message, and we’ll sort it out.

Step 5: Get Support When You Need It

You have two ways to reach us, depending on what you need:

For tax questions: Message your accountant team

  • Use the “Messages” tab or the “Send a message” button on your dashboard
  • Best for: Questions about your return, explaining your situation, tax-specific clarifications
  • Include the tax year and questionnaire section in your message for faster responses

For technical help: Use the Support Chat

  • Click the chat widget in the bottom right corner
  • Best for: Login issues, upload problems, navigation questions
  • Our support team provides real-time help

How to Sign In

Regular Sign-In Process

  1. Go to your Greenback Portal sign-in page (bookmark this for easy access)
  2. Enter your email address
  3. Choose your sign-in method (the one you set up during your first login)
  4. Complete verification
  5. You’re in

Setting Up or Changing Your Password

If you chose password sign-in:

  1. Go to your profile settings
  2. Look for password options
  3. Create or update your password
  4. Save it in a password manager

Using SMS Passcodes

How it works:

  1. Select SMS at sign-in
  2. We text a 6-digit code to your phone
  3. Enter the code
  4. You’re in

Traveling abroad? Make sure your phone can receive texts internationally. If not, switch to email sign-in or password.

How it works:

  1. Select Email Link at sign-in
  2. Check your inbox for our email
  3. Click the link
  4. You’re in

Important: Always use the most recent link we sent you. Older links expire when you request a new one.

Try these steps in order:

  1. Check your Spam, Promotions, and Updates folders
  2. Search your inbox for “Greenback Portal” or “Greenback”
  3. Make sure you entered the correct email address
  4. Request a new code or link (don’t use old ones)
  5. If using SMS, confirm your phone has service

Completing Your Service Selection Quiz

What This Quiz Does

The Service Selection Quiz is your portal’s control panel. Your answers tell us:

  • Which tax services you need (US return, foreign returns, FBAR, etc.)
  • Which tax years you’re filing
  • Any special situations we should know about

Critical point: Questionnaires only appear AFTER you complete this quiz. If you skip it or answer incorrectly, you won’t see the forms you need.

How to Complete It

  1. Log in to your portal
  2. Open the Service Selection Quiz from your dashboard
  3. Read each question carefully
  4. Select ALL services that apply to you for each tax year
  5. Add notes if you’re unsure about anything
  6. Submit when complete

Take your time. This drives everything else. It’s better to spend 5 extra minutes here than to fix it later.

What Happens After You Submit

Your portal automatically generates one questionnaire for each service you selected:

  • Selected US tax return → Creates US questionnaire
  • Selected FBAR → Creates FBAR questionnaire
  • Selected UK return → Creates UK questionnaire

You’ll see multiple questionnaires, and that’s normal. Each one collects different information.

Need to Change Your Selections?

You can’t edit the quiz directly after submitting, but we can help:

Email your accountant or send a portal message with:

  • What needs to change
  • Which service or tax year
  • What you selected vs. what you should have selected

We’ll adjust things on our end and let you know when you’re all set.


Working with Questionnaires

Understanding Your Questionnaires

Each questionnaire focuses on one specific service. You must complete and submit each one separately.

What you’ll see:

  • Section list showing what’s complete and what’s not
  • Progress indicator
  • Save and Submit buttons

Tips for Completing Questionnaires

Work at your own pace: Everything saves automatically. You can:

  • Exit anytime and come back later
  • Work on sections in any order
  • Skip questions and return to them
  • Switch between questionnaires

Use the helper tools:

  • Add Note: Tell your accountant about unusual situations
  • Answer Later: Flag questions you need more time for
  • Mark N/A: Skip questions that don’t apply

How to Know When You’re Done

Each section shows a status:

  • Red icon = Incomplete, needs your attention
  • Green icon = Complete and ready

The Submit button unlocks only when every section shows a green check mark.

Think you’re done, but can’t submit? Check the section list for any red icons. If everything looks green but you still can’t submit, message your team, and we’ll check what the system is waiting for.

After You Submit

Once you hit Submit:

  • Your accountant gets notified automatically
  • The questionnaire is locked for review
  • You’ll see a “Review in Progress” status

If we need clarification on anything, we’ll reach out through the message system.


Uploading Documents

Where to Upload

You have two options, and both work perfectly:

Option 1: Upload as you go

  • Upload documents directly in questionnaire sections
  • Good if you’re gathering documents gradually

Option 2: Upload all at once

  • Use the Document Checklist on your dashboard
  • Good if you have everything ready

How to Upload

  1. Click “Browse” or drag files into the upload area
  2. Select one or multiple files
  3. Wait for the upload to complete
  4. Confirm files appear in your list

You can upload multiple documents at once. This is helpful for W-2s, 1099s, bank statements, and other multi-page documents.

Supported File Types

  • PDFs (most common and preferred)
  • Images: JPG, PNG, HEIC
  • Spreadsheets: CSV, some Excel formats
  • Maximum file size: 100 MB per file

Upload error? Try converting the file to PDF first.

Where Your Documents Go

Documents appear in two places:

  1. In the questionnaire where you uploaded them
  2. In the Documents section, organized by type (US Return, FBAR, Foreign Returns, etc.)

Can’t find a document? Check the “Additional Attachments” or “Unmatched Documents” folder. The system puts files there when it’s not sure where they belong. Don’t worry – your team can still see and use them.

Uploaded to the Wrong Place?

No problem. You have two options:

Option 1: Go to the Documents section and move files between folders yourself

Option 2: Send your team a quick message with:

  • The file name
  • Where it should go (W-2, 1099-DIV, foreign bank statement, etc.)

Important to know: Your accountant can see ALL your uploaded documents regardless of which folder they’re in. Even if a document is in the “wrong” place, we can still find it and use it for your return.

Can I Delete Documents?

If you see a delete or remove option next to a file in your Documents section, you can use it. If you accidentally delete something important, just re-upload it or let us know.


Messaging Your Team

Two Types of Support

For tax questions → Message your accountant team

  • Use the Messages tab on your dashboard
  • Your assigned accountant sees these messages
  • Best for: Tax questions, explaining your situation, return-specific clarifications

For portal help → Use Support Chat

  • Click the chat widget (bottom right corner)
  • Connects to our technical support team
  • Best for: Login problems, upload issues, navigation questions

This separation helps us route your question to the right expert faster.

Response Times

  • Accountant messages: Typically within 1-2 business days
  • Support chat: Real-time during business hours
  • Urgent issues: Use the support chat for immediate help

If You Have a Business Entity

If your portal includes both personal and business entities, each has its own message thread. (Dont understand what entity means? Scroll to the Glossary terms below)

Important: Anyone added to a business entity can see that entity’s messages. If you need privacy, make sure you’re in the personal entity thread before sharing sensitive information.


Finding Your Final Returns

When Your Return is Complete

Once your accountant finishes your return, you’ll see:

  1. Status update on your dashboard showing “Complete” or “Ready for Review”
  2. Final deliverables in your Documents section under a folder labeled:
    • Final Return
    • Completed Return
    • Deliverables
    • Or similar

Can’t Find Your Completed Return?

Try these steps:

  1. Check your Documents section for any “Final” or “Complete” folders
  2. Search your documents list for “final” or “return”
  3. Check your messages for a notification from your accountant
  4. Send your team a message: “Where can I find my completed [tax year] return?”

Downloading Your Documents

Single file: Click the download button next to any document

Multiple files: If your portal offers bulk download:

  • PDF export = Everything combined into one file
  • ZIP export = Individual files preserved (better if you uploaded spreadsheets)

Billing & Invoices (Beta Phase)

How Invoicing Works During Beta

Invoice payment is not available inside the portal during the beta phase.

Here’s how you’ll pay:

  1. We’ll email you an invoice payment link
  2. Click the link to access your invoice
  3. Complete payment through the secure payment page
  4. Receive email confirmation

Important: Invoice links are sent by email only. They’re not saved in the portal during beta.

Viewing Past Invoices

Prior invoice history is not currently available in your portal.

If you need past invoices or receipts: Contact our support team and we can:

  • Email your billing history
  • Resend specific invoice receipts
  • Answer any billing questions

Note: Full billing features are planned for the final portal release.


Troubleshooting Common Issues

“I Got an Error Message”

First, try these quick fixes:

  1. Refresh your browser page
  2. Sign out and sign back in
  3. Try a different browser or an incognito/private window
  4. If uploading, convert the file to PDF and try again

Still having issues? Contact support chat with:

  • Screenshot of the error
  • What you clicked right before the error appeared
  • The time it happened
  • Whether you’re on desktop or mobile

“My Questionnaire Shows Incomplete, But I Filled Everything Out”

How to find what’s missing:

  1. Open the questionnaire
  2. Look at the section list – anything with a red icon is incomplete
  3. Open each incomplete section
  4. Look for questions with an asterisk (*) or highlighted in red
  5. Complete those questions and save

Everything looks complete, but I still can’t submit. Message your team with:

  • Which questionnaire (US Return, FBAR, etc.)
  • Which tax year
  • “I’ve completed all sections, but can’t submit”

We’ll check what the system is waiting for.

“I Uploaded Documents, But Don’t See Them”

Where to check:

  1. Your Documents section (main documents area)
  2. The specific questionnaire that you uploaded
  3. “Additional Attachments” or “Unmatched Documents” folder

If you uploaded multiple files at once: Give it 30-60 seconds to process all of them.

Still missing? Upload one test file and then message support with:

  • The original file name
  • When you uploaded it
  • Where you expected to see it

“I Can’t Remember Which Sign-In Method I Chose”

Try this:

  1. Go to the sign-in page
  2. Enter your email
  3. The portal will show you which sign-in methods are available for your account

If you’re still stuck, use the support chat to confirm your sign-in setup.

“The Portal is Running Slowly”

Quick troubleshooting:

  1. Check your internet connection
  2. Close unnecessary browser tabs
  3. Clear your browser cache
  4. Try a different browser
  5. Check if you’re uploading very large files (this can slow things down temporarily)

Persistent slow performance? Let support know:

  • Your browser type and version
  • Your internet speed (if you know it)
  • Which specific pages or features are slow

Understanding Portal Terms

Here are the common terms you’ll see throughout your portal.

Account Email: The email address we have on file for you. Used for sign-in and all portal communications.

Accountant Team: The Greenback CPAs and Enrolled Agents assigned to your return. You can message them through your portal.

Additional Attachments: A holding area for uploaded files that couldn’t be automatically categorized. Your team can still access these files.

Business Entity: A separate tax filing unit for a business you own (LLC, Corporation, etc.). Has its own message thread and questionnaires.

Dashboard: Your home base. Shows active questionnaires, documents, messages, and account status.

Document Checklist: Shows which documents you need to upload and which you’ve already provided.

Email Sign-In Link: A one-time link sent to your email that signs you in without a password. Each link expires after use or when you request a new one.

Entity: Your tax filing unit. Can be:

  • Personal Entity: You (or you and your spouse)
  • Business Entity: A business you own

Each entity has its own messages, questionnaires, and documents.

FBAR (Foreign Bank Account Report): Required filing if you have foreign financial accounts totaling over $10,000 at any time during the year.

Final Deliverables: Your completed tax return documents, stored in your Documents section.

Foreign Return: A tax return filed with another country (UK, Canada, Germany, etc.).

Personal Entity: Your individual tax filing (or joint filing with your spouse). Separate from any business entities.

Questionnaire: A structured form that collects information for your tax return. Each service (US return, FBAR, foreign return) has its own questionnaire.

Service Selection Quiz: The first required step. Your answers determine which questionnaires the portal creates for you.

SMS Passcode: A one-time code texted to your phone for sign-in.

Tax Year: The calendar year your return covers. Your “2025 tax year” return covers January 1 – December 31, 2025, and is typically filed in 2026.

Unmatched Documents: Files that were uploaded but couldn’t be automatically sorted. Your team can still see and use these.

US Tax Return: Your Form 1040 and related schedules filed with the IRS.
